Surface possible matches across current clients, former clients, related parties and adverse parties, with the matter and the basis for each match attached. Potential conflicts go to the responsible lawyer for review rather than being cleared automatically.

Engagement & scope

Scope the engagement letter against what the client actually asked for, and set out what is excluded as plainly as what is included. Where the request implies work outside the fee arrangement, that gap goes back to the responsible lawyer before signature, while it is still a conversation rather than an invoice dispute.

Calendaring & docketing

Calendar the dates a filing implies, not only the one printed on its face: the response windows, service deadlines and limitation dates that follow from it. Where a deadline depends on an ambiguous trigger date or rule, flag it for lawyer review instead of silently calendaring an inferred date.

Discovery & document review

Prioritize and classify potentially responsive material, identify likely privilege and redaction issues, and prepare a review set with the underlying basis attached for lawyer review. Privilege-sensitive material requires explicit review boundaries, source traceability and controlled handling before production.

Billing & trust reconciliation

Itemize a month of time into narratives that a client's billing guidelines will actually accept, task-coded and tied to the matter budget, and send entries likely to draw a write-down back to the biller while the work is still fresh. Separately, bring bank records, trust ledgers and client trust balances together to surface discrepancies for review during the monthly reconciliation.

Knowledge & precedent

Index the firm's own briefs, motions and closing documents by issue and jurisdiction, so the second time a question arises it starts from the position the firm has already argued. The source matter travels with the extract, because work product is only reusable when you can see the facts it was written against.

Failure modes & constraints

A conflicts search that covers only current clients misses former-client and related-party exposure. A deadline computed from the wrong trigger date, or from a rule that differs by court or registry, is wrong in a way that looks perfectly right on the calendar. Privilege-sensitive material can leave in a production because one document in a set was never looked at. Trust accounting has to reconcile three ways every month whether or not anyone has the time. And none of this tolerates an unreviewed output: the responsible lawyer owns the work product regardless of what drafted it, and client confidentiality constrains what may be sent anywhere at all.

The practice management system holding matters, time and trust balances; the document management system or shared drive holding work product; and the court or registry calendar, which is external and authoritative. What moves between them: intake forms and conflicts results; engagement and disengagement letters; calendared deadlines; discovery sets, privilege logs and redactions; time entries, invoices and matter budgets; and the bank records, trust ledgers and client trust balances behind the monthly reconciliation.

Where manual work accumulates

The lawyers carry it as work that is neither billable nor easily delegable: intake, conflicts, chasing a missing engagement term, reconstructing a billing narrative weeks after the fact. The administrative team carries it as re-entry, keying the same matter details into intake, the calendar, the document system and the invoice. Both grow with the number of matters rather than the number of people available to absorb them.
